Village of Bensenville is seeking proposals for printer maintenance services for the period starting October 1, 2019 to April 30, 2021. The period incorporates the current Village President’s remaining term. The Village currently has a lease on multiple printers and at the end of the lease, the Village will own all the printing machines and equipment. A list of the equipment included for the Request for Proposal is attached herewith as Appendix – A. The Village has the following details that should be considered in the proposals:

  • Annual black print counts are around 750,000; annual color print counts are around 250,000.
  • The Village will require on site assistance for machine malfunctions within 24 hours of a service call, preferably earlier.
  • The maintenance service provider will be responsible to provide appropriate toner/ink supply and ancillary supply items (e.g. staples for the multifunction machines etc.) for all the listed printers in the Appendix – A.
  • The maintenance service provider will also maintain enough inventory of the toner/ink supply for the smooth operation of the printing jobs.
  • The maintenance service provider should provide an all-inclusive cost for full maintenance services, which should include labor, parts, and supplies
  • The billing for the services should be monthly and the Village will agree to pay the bill within 20 days, subject to availability of the board meetings. The Village normally has two board meetings each month on the 2nd and 4th Tuesdays.
  • All the machines in service were bought brand new in June-2014.

 Interested individuals/firms shall submit one (1) original, five (5) copies and one (1) electronic version of the pdf, including a cover letter expressing their interest in providing these services to the Village of Bensenville, to the following address:

All proposals must be received on September 10, 2019 by 3:00 p.m.  NO LATE OR FAXED PROPOSALS WILL BE ACCEPTED.  The contract is expected to be awarded by September 25, 2019.

The Village reserves the right to accept or reject any or all proposals and award the contract to the best applicant as determined solely by the Village.  The award shall not be considered binding until such time as a valid contract is executed by both parties.
